New Invoice/Quote
To begin a new Invoice/Quote
from the File menu select new “Invoice/Quote” Or click the
If you have already
imported/entered customers into your application they will be visible by typing
or selecting from the customers drop down menu. If you like you can also
perform a quick Add/Edit by clicking on the Add/Edit link located next to the
customers icon . Next begin configuring your
invoice by selecting from the available types column of the Invoice/Quote
screen.
When the Invoice/Quote
screen initially appears an inventory selection will be automatically selected
for you. If the order contains inventory items we suggest that you begin by
entering these first. This allows easier configuration of quantities and prices
based upon those values. If the Invoice/Quote will not contain any inventory
items you can select printing, embroidery, or other as the first line item and
manually enter quantities. Once the type has been selected click the link
relating to your selection underneath the link column. Catalog
View
When an inventory type is
selected the catalog view becomes available allowing you to select the vendor,
style, color, and specific color for the inventory item. You also have the
option of viewing the best price between all of the available vendors that
carry that particular item and add the item to your cart. When adding the item
to your cart all of the details pertaining to that item including vendor,
prices, sizes, etc. will automatically added to your shopping cart and
available when placing an order. Click OK once completed

Once an inventory item has
been chosen the available sizes will be highlighted in yellow. If a size other
than XS-5XL was found, the “Other” column will be highlighted in yellow
allowing you to choose between a list of other sizes.
If an “Other” size is selected enter the appropriate other qty in the “Other
Qty” column. Clicking on the "Pricing"
column will bring up the Case, Dozen, and Piece menu. Note: These values mean
nothing when a printing, embroidery, or other line item is chosen. Once
a quantity has been entered the price will automatically be updated to reflect
those values.
If you want to modify the
default calculated markup or piece price value, simply enter your custom value
in the markup or piece price column. The value will turn red indicating a
custom value has been entered. Custom markup and piece price values are
mutually exclusive. Printing View
When a printing type is
selected the printing view becomes available allowing you to select the print
location, print matrix, etc. Once the printing view appears you will be
presented with the styles tab selected first. This gives you the options of
changing the quantity to be printed for each of the inventory items that you
have selected. If you would like to change the print quantity simply enter the
new quantity to print inside the qty column and the value will turn red
indicating that a custom print quantity has been selected You can optionally
add an image and print details such as color, ink, etc. When you click the
browse button the file locator defaults to the customer’s art folder that was
automatically created when adding the customer. If you have added any art to
the art tab under the customer edit view for that specific customer all of
their artwork will be immediately available for selection. Once
complete click OK and printing prices will be automatically calculated for you. Embroidery
View
Same as printing view only
different matrixes and details. Other
View
When a
other type is selected the other view becomes available allowing you to choose
any other charges that may apply to the Invoice/Quote.
In the above example an hour
and a half artwork charge is applied at $35.00 hr. Finishing
Up
Once you have finished save
the Invoice/Quote by selecting Save from the File menu, clicking the Scheduling
activities
You may wish to schedule an
activity/notification pertaining to the job start, due date, quotation follow
up, etc.
To schedule an activity
simply click the schedule activity button located on the Invoice/Quote screen
and enter details pertaining to the Invoice/Quote. Email If
you would like to email your Invoice/Quote to a customer/potential customer
click the Convert
To Invoice
Click
the convert to invoice link to convert a quote to an invoice.
Total
Inventory Count
When
the total inventory count check box is checked the quantity for all items will
be totaled and the markup value calculated according to the total of all items.
If the total inventory count check box is not checked markup values will be
calculated for each line item individually. < Back |
